How Time-Blocking can Improve your Team

If we all have the same amount of hours in a day, why are some of us more productive than others?


It all depends on how you manage your time. Great time management is one of the most essential skills a person can develop, and work-on to improve.

I’m going to let you in on a secret weapon to improve your team: time-blocking.

What is Time-blocking?

Time blocking is when you block off a spot on your calendar to reserve a time slot for a specific task you should be working on.

Think of time-blocking as your to-do list, but instead of telling you what you’re going to do, it tells you what you’re going to do and when you’re going to do it.

If you use this system to block your team’s time, you'll be able to track their productivity and timing on projects more accurately.

How does it Work?

As you know already, every one of your team members works differently.

This is why the first step to time-blocking for your team is to identify your team’s productivity levels. You can do this by monitoring their current tasks and work schedules, to learn how and when they complete their tasks.

Without this knowledge, you won’t be able to accurately time block.

Once you’ve completed this first key step, you can begin time blocking to plan your team's schedules with more ease and effectiveness.[Text Wrapping Break]

When you time-block, you can assign time blocks to each team member for each project they are currently working on.

It’s simple, even with a basic tool such as Google Calendar, to add these blocks as recurring tasks in your team’s schedule.

Develop your list


Start by making a list of all the things that need to get done for the week.

List all your work projects, your family commitments, even your exercise goals.

The goal is to include everything from the telephone calls you need to make to the meals you need to prepare.

Put stars next to the urgent tasks that have more importance.
